If the matter is simple, I will endeavour to charge a fixed Notary’s fee including VAT for my notarial services. Usually, such fee is set per document. If you require more than one document to be processed the fee for the second and every subsequent document is charged at a discounted rate.
For more complicated or time-consuming matters, the fee will be based on my hourly rate including VAT.
What does my notary’s fee cover?
The fee charged includes time spent on preliminary advice, customer due diligence checks and verification of details, drafting and preparation time, making and receiving telephone, video calls, my record keeping, correspondence written and received in all formats, including liaising with your lawyer/agent overseas (if any) to finalise the required documents and clarify their requirements. This is paramount to ensure your documents authenticated by me, as a Notary Public, are accepted and valid in the foreign jurisdiction and prevents from any unnecessary delays. My fee may also cover arranging apostille legalisation, consular legalisation and postage (as required).
Disbursements / additional charges to the above Notary’s fees:
Apostille legalisation or Consular legalisation
Some documents may require Apostille legalisation before they will be accepted for use in the receiving jurisdiction by obtaining an apostille through the UK Foreign and Commonwealth Office (FCDO) and, for some countries, additional legalisation is required through the relevant embassy or consulate (Consular legalisation). The cost of premium legalisation by an Apostille including agent’s fees, my processing fee and VAT is £88 per paper apostille, plus postage to and from the legalising authority (to be advised by email), turnaround 5-6 working days. The cost of posting the documents to you/another person by signed for post/international tracked and signed for post/courier will be advised by email. Please note that my initial quote will include the processing and execution of initial documents, as agreed. If any additional work becomes necessary, e.g. redrafting, you sending additional documents for processing (e.g. additional certified copies of ID documents or other), etc., I will email you a revised quote, which will be subject to the fee per documents or my hourly rate including VAT, plus disbursements (if applicable).
Travel fees
If the meeting takes place outside my office, travelling fees will be applied including VAT/per hour. I will inform you of the total travel fee payable in addition to my Notarial fee and any other disbursements (if any) in advance. Exact amount will be advised by email when the location of attendance away from my office is agreed.
Translation / interpreting fees
In certain cases where a document in question is not in a language that my clients and I understand, the services of a translator may be required. When I receive your enquiry and any related documents, I will assess them thoroughly and ask you to confirm if you can speak, read or write in the language of the presented documents and understand their scope and content. It is very important for both, me and my clients, to understand the the documents being executed, and to ensure that I can arrange a professional translator to translate the documents for us. As such, additional third-party fees will be charged. However, I will notify you of any additional charges in writing in advance and will not proceed with the translation service until I receive your consent to do so.
If you or any witnesses (as required) have any difficulties with language during our appointment, I can arrange an oral interpreter to be present face to face or remotely via video link/telephone to assist us with any language barriers. I note I am fluent in English and Lithuanian, I also speak Russian, so if one of these languages is your preferred language for communication verbally or in writing, I will be able to assist you at no extra charge. However, if services of an interpreter are required, I will be able to arrange a professional and independent interpreter on your behalf at an additional cost. These fees will be advised to you in advance for your approval.
Postage / courier service
If you are unable to collect the final documents from my Notary’s office in Penarth (near Cardiff, South Wales, UK), I can arrange them to be delivered to your preferred address by Royal mail or courier in the UK or overseas. The additional postage charges also apply if the documents need to be posted to the Foreign Commonwealth Office (FCDO) or our legalisation agents for Apostille legalisation or Consular legalisation. Any additional costs will be clearly communicated to you in writing seeking your approval before we proceed.
Value Added Tax (VAT)
My Notary’s practice KS Notary Services Ltd. is a limited liability company registered in England and Wales, which is also VAT registered. Therefore, VAT charges apply to my services (excluding legalisation by apostille, which is exempt). The prices and fees for any services provided or arranged by me and communicated to you in writing will include the VAT charge.
You can trust me that you will not incur any additional costs without your prior specific consent.
How to pay for my Notary Public services
Payment can be made by bank transfer, cash or card. Disbursements/additional fees (as above) are payable in advance with the balance due on appointment day before I can release the final documents.
