As a Notary Public I must conduct due diligence on every private and corporate client, which includes carrying out checks for bankruptcy, politically exposed persons, sanctions and verification of identity. The policy of my notarial practice is to comply with regulation 28 and 27(1) of the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017 (‘AML’) when dealing with every client.
In order to comply with the mandatory regulations, I must verify the identity of every client and hereby request you to:
1. Send to me by email the following documents before our appointment; and
2. Bring the same original documents (not their copies) to your appointment:
· PHOTO ID verification: your valid passport(s) (preferably) or a valid UK full photo driving licence card; and
· a valid photo driver’s licence card (preferably, if available), or national ID card, BRP (biometric residence card) (if any), or birth certificate, or any other official ID document; and
· FOR CURRENT ADDRESS VERIFICATION: 2 forms of proof of current residential address (a valid UK full driving licence (if not used for photo ID verification above), a bank statement, utility bill, NHS letter, government letters (HMRC/HMPO/DWP), payslip, P45, P60 issued in the last 3 months and received in the post, the latest council tax bill). Alternatively, you can log into your bank/utility company/work etc. account online during our appointment and download the latest statement/bill/payslip etc. showing your name and your current residential address this way.

Having a big sale, on-site celebrity, or other event? Be sure to announce it so everybody knows and gets excited about it.
If you are an individual signing on behalf of another person, please email to me before your appointment and bring with you to our appointment a valid Power of Attorney granting you authority to act on their behalf.
If your company/organisation is registered in the UK, I will conduct the necessary checks through Companies House, the Gazette and Insolvency Register.
If your company is registered overseas, please provide one of the following documents:
· Certificate of good standing
· Certificate of incorporation
· Company extract from the local company register
If additional checks are required, I will notify you accordingly.
If you are signing the document(s) before me as a Notary Public, please provide evidence of your authority to act, which can be established through any of the following:
· Constitutional documents, such as the Articles of Association;
· Company extract listing the directors/members;
· Authorised signatory list;
· Board resolution/minutes of a meeting; or
· A valid Power of Attorney.
I will notify you before our appointment if any additional documents are required that are not listed above.

If I am unable to resolve the matter you may then complain to the Notaries Society of which I am a member, who have a Complaints Procedure which is approved by the Faculty Office. This procedure is free to use and is designed to provide a quick resolution to any dispute.
In some cases, where the services are provided by third parties, included but not limited to, Apostille legalisation, Consular legalisation, postal/courier, translator’s/interpreter’s services, their document processing/delivery timescales and terms are outside of my control. I will inform you of any delays or issues in processing your documents as soon as they become known to me and will do everything I can to ensure your matter is dealt with efficiently.
